Every accounting firm or company that works with several RUCs eventually hits the same problem: SUNAT delivers electronic receipts in XML format, but the portal only allows manual downloads, receipt by receipt or in batches limited by period. When you invoice at volume —or manage the accounting of several clients— that manual download stops being viable.
Why the XML matters (and the PDF is not enough)
The PDF of a receipt is a visual representation meant for people. The XML is the structured file SUNAT requires to validate, declare and support operations before the tax administration. Without the complete, correctly classified XML, it is not possible to support tax credit or reconcile the purchase and sales ledger with what was declared.
The manual process and where it breaks
- Log in to SUNAT Online Operations (SOL) with each RUC's credentials.
- Locate the received or issued electronic receipts section.
- Filter by date range, document type and supplier.
- Download each receipt or batch, and rename/organize the files manually.
- Repeat the full process for every RUC under management, every period.
The bottleneck is not the download itself but the repetition: a firm managing 30 RUCs can end up dedicating several hours a month to this task alone, with the added risk of receipts left out due to human error when filtering dates or document types.
What changes with automated downloads
Automating this flow means the system logs in to SUNAT, goes through the configured RUCs, downloads the XMLs for the corresponding period and organizes them by folder, RUC and receipt type —without anyone repeating the process manually each time. The goal is not to replace accounting judgment, but to remove repetitive work that adds no value.

Good practices in the meantime
- Define a fixed folder structure (RUC / year / month / receipt type) starting now, even if downloads remain manual.
- Download in short, frequent periods instead of accumulating months: it reduces the risk of receipts SUNAT cannot locate.
- Cross-check the count of downloaded XMLs against the receipt summary SUNAT shows to detect missing files before declaring.
